Keeping in touch letter template
When you have not spoken for a while, the first sentence can be the hardest part. A keeping in touch letter gives you a gentle way to reopen the conversation. Acknowledge the time apart, share a little news and leave an invitation to reply without turning it into an obligation.
Use this free templateBefore you start
- A reason you thought of the person or a shared memory.
- A short update that brings them into your life as it is now.
- A current contact method, with room for them to choose when to reply.
Replace the bracketed prompts and change or remove any sentence that does not sound like you. You can leave the subject line and sender address blank for a personal note.
Example wording
Make it sound like you
Acknowledge the gap lightly
‘It has been a while, and I have been thinking of you’ can be enough. You do not have to account for every month or decide who should have written first. If there is a specific unresolved hurt, a direct apology may be more appropriate than treating the silence as just a busy spell.
Share news without assumptions
Choose one or two updates rather than a complete history. A familiar place, interest or memory can make an easy bridge to the present. Ask broadly how they are instead of assuming that their job, relationships or living arrangements are the same as when you last spoke.
Leave an easy opening
Include a contact method you are comfortable sharing; they may no longer have your current details. A line such as ‘I would love to hear from you whenever you feel like it’ keeps the invitation open. Avoid asking them to justify the silence or making an immediate meeting the condition of reconnecting.
Is the PDF really free?
Yes. Edit the letter and choose “Download free PDF”. There is no account or payment to download it. PostOwl only charges if you choose printing and postal delivery; the full price is shown before payment.
Can I print or email it myself?
Yes. Keep the downloaded file, print it or attach it to an email if the recipient accepts that method. The PDF is generated in your browser. Choosing postal checkout carries it to the send page, where you can review the document and address.
