Thank-you letter template
A good thank-you letter tells someone what you appreciated and why it mattered. You can use this example for a present, a generous host, practical help or time someone gave you. A few specific sentences are enough.
Use this free templateBefore you start
- Exactly what you are thanking the person for.
- A detail about how you enjoyed the gift or how their help made a difference.
- A closing that matches how well you know them.
Replace the bracketed prompts and change or remove any sentence that does not sound like you. You can leave the subject line and sender address blank for a personal note.
Example wording
Make it sound like you
Name the kindness straight away
Open with the thing you are grateful for: ‘Thank you for spending Saturday helping me move.’ If several people helped, say what this person contributed. For a gift, name it rather than writing only ‘the lovely present’. That makes a short note feel personal from the first line.
Show the difference it made
Describe what happened afterwards. You might say where you put a gift, what you learnt from their advice or how their help made a difficult week easier. If you have not used a present yet, thank them for thinking of you without inventing a reaction or making a promise.
Keep gratitude at the centre
A brief update or shared memory can fit naturally, but avoid making the note mainly about your own news or adding a new request. If some time has passed, you can still send a warm thank-you. A long explanation for the delay usually matters less than the appreciation itself.
Is the PDF really free?
Yes. Edit the letter and choose “Download free PDF”. There is no account or payment to download it. PostOwl only charges if you choose printing and postal delivery; the full price is shown before payment.
Can I print or email it myself?
Yes. Keep the downloaded file, print it or attach it to an email if the recipient accepts that method. The PDF is generated in your browser. Choosing postal checkout carries it to the send page, where you can review the document and address.
