Congratulations letter template

Mark the news someone is excited to share, whether it is finishing a course, starting a new role, welcoming a new family member or another meaningful change. Name the occasion, explain why you are pleased for them and let them enjoy the moment.

Use this free template

Before you start

  • The achievement or news, using the details the person has shared.
  • Something you admire about their effort, qualities or new chapter.
  • A warm wish, with an optional suggestion for celebrating.

Replace the bracketed prompts and change or remove any sentence that does not sound like you. You can leave the subject line and sender address blank for a personal note.

Make it sound like you

Name what you are celebrating

Be specific in the opening: ‘Congratulations on finishing your degree’ or ‘I was delighted to hear about the new arrival.’ Use the names and details you know, and leave out anything you are unsure about. You do not need an elaborate opening for the message to feel warm.

Recognise what matters to them

For an achievement, mention an effort you have actually seen, such as studying after work or practising for an audition. For happy personal news, focus on their joy and what you appreciate about them. Avoid comparisons with other people or making the occasion a story about your own achievements.

Give them room to enjoy this stage

A wish for what comes next can be gentle: ‘I hope you get a chance to enjoy it before the next term begins.’ There is no need to add advice, ask about their next ambition or suggest a timetable. If you offer to celebrate together, choose something you can realistically arrange.

Is the PDF really free?

Can I print or email it myself?

Yes. Keep the downloaded file, print it or attach it to an email if the recipient accepts that method. The PDF is generated in your browser. Choosing postal checkout carries it to the send page, where you can review the document and address.
