Give your birthday wishes more room than a card allows. This letter brings together a favourite memory, something you value about the recipient and a wish for their year ahead. It works for a friend or relative without needing a milestone age or a big celebration.

Use this free template

Before you start

  • A happy birthday greeting in words you would actually use.
  • A shared memory or a quality you appreciate about the person.
  • A wish or celebration idea that suits them.

Replace the bracketed prompts and change or remove any sentence that does not sound like you. You can leave the subject line and sender address blank for a personal note.

Make it sound like you

Choose a memory with a detail

Instead of ‘We have had so many good times’, describe one: the wrong train you caught together, their first attempt at a new hobby or a quiet afternoon that stayed with you. A single detail helps the recipient recognise the moment and makes the letter feel written just for them.

Let the wish fit the person

Think about what they enjoy or hope to do. ‘I hope there are plenty of afternoons in the garden’ may mean more than a grand wish for success. Keep the tone comfortable for your relationship, and leave out jokes about age or big life milestones if those would not land well.

Write honestly about celebrating

If you have a real plan together, mention it. If you are far away, say what you wish you could share that day. For a belated letter, a simple ‘These wishes are a little late’ is enough before returning to the person and what you want to celebrate about them.

Can I print or email it myself?
