Personal invitation letter template

A personal invitation should make someone feel welcome and give them the details they need to decide. Use this example for a meal, party, reunion or other informal gathering. Add a little about the occasion, then make the time, place and reply instructions easy to find.

Use this free template

Before you start

  • The occasion, day, date, start time and expected finish time.
  • The venue and full address, plus any useful arrival details.
  • Who is invited, how to reply and the date you need an answer.

Replace the bracketed prompts and change or remove any sentence that does not sound like you. You can leave the subject line and sender address blank for a personal note.

Example wording

Make it sound like you

Check the details together

Write the day and date in full, such as ‘Saturday 10 October’, and check that they match. Say whether the time is an arrival time or when the activity starts. Include a full venue address rather than relying on a place name your guest might not recognise.

Help guests plan their visit

Mention the details that affect a guest's plans: whether food is provided, whether they should bring anything and whether the invitation includes a partner or children. Add useful parking or step-free entrance information if you know it. Ask about food or access needs without assuming what someone will need.

Give one clear way to reply

Include a phone number, email address or postal address and a reply date that leaves you time to organise the gathering. If the invitation is arriving by post, allow time for both delivery and a response. Close warmly without making the recipient feel they must explain if they cannot attend.

Is the PDF really free?

Yes. Edit the letter and choose “Download free PDF”. There is no account or payment to download it. PostOwl only charges if you choose printing and postal delivery; the full price is shown before payment.

Can I print or email it myself?

Yes. Keep the downloaded file, print it or attach it to an email if the recipient accepts that method. The PDF is generated in your browser. Choosing postal checkout carries it to the send page, where you can review the document and address.
