Personal apology letter template

An apology is easier to understand when it names the action, recognises its effect and says what you will do differently. This starting point is for a personal disagreement or mistake. Use your own facts, keep the focus on the other person and give them space to respond in their own time.

Use this free template

Before you start

  • The specific words or action you want to apologise for.
  • The effect you understand it had, without guessing how the person feels.
  • A realistic repair or change you are willing to make.

Replace the bracketed prompts and change or remove any sentence that does not sound like you. You can leave the subject line and sender address blank for a personal note.

Make it sound like you

Say what you are sorry for

Write ‘I am sorry I cancelled at the last minute’ rather than ‘I am sorry if you were upset.’ The first sentence owns an action. If you need to give context, keep it brief and do not use it to move responsibility onto the other person or argue your side again.

Connect the apology to a change

Recognise a concrete effect, such as leaving someone to organise an event alone. Then offer a repair that is relevant and achievable. Explain what you will change next time in practical terms. A modest action you can keep is more useful than promising that you will never make another mistake.

Leave the response with them

You can offer to listen without asking for immediate forgiveness or reassurance. Keep the ending calm and avoid setting a deadline for a reply. If the person has asked you not to contact them, respect that boundary. Writing the letter for yourself can still help you put your thoughts in order.
